๐ข For Contracting Authorities
AI Assistant: from expiring contract to planned procurement in minutes
Your contracts already hold years of lessons, and now the AI Assistant puts them to work. For the first time, you can create planned procurements with AI.
- Start from an expiring contract and let the AI Assistant create the planned procurement for you.
- The assistant takes into account the experience report together with the amendments and deviations registered during the contract period.
- The procurement strategy for the planned procurement is built on the lessons learned from the expiring contract.
- You end up with a new planned procurement with much of the work already done, and can review and refine it together with the AI assistant.
Benefit: The next procurement starts from what actually worked in the previous contract, with less manual work and better use of the experience your organisation has already built up.

Involve the supplier in deviation handling
Deviations no longer have to be handled outside the platform. When a deviation is registered, you can now involve the supplier and get their feedback directly from the deviation.
- Use Send message to supplier on the deviation page to start the conversation. The message is automatically marked as a deviation message and pre-filled with a summary of the deviation.
- Deviation messages are easy to tell apart from other communication with the supplier.
- If several deviations come in from the same supplier, you can summarise them in one message.
- The full exchange is kept with the contract, so the deviation history is documented in one place.
Benefit: Faster resolution of deviations and a complete, traceable history in the contract.

Award lots at different times
You no longer have to award every lot at once. You can award one lot now and continue with letters and next steps for that lot, while the remaining lots stay "Not awarded yet" until you're ready.
- Each lot shows its own award status, so you always know where you stand
- Letters, notifications, and the move to contract only apply to the lots you've awarded
- After contracts are signed, there is now a link from the contract in KGV to KAV
Benefit: More flexibility in procurements with lots, so one lot that needs more time no longer holds up the others.

Tasks and comments per requirement
Collaborate directly where the work happens. Every requirement can now have its own tasks and comment threads, so feedback and open questions stay attached to the requirement they concern instead of living in emails and side channels.
- Hover over a requirement to add a task. This opens the task panel with a new task ready to fill in
- Requirements with tasks show a counter on the task icon, so you can see at a glance where work is still open
- Review, discuss and resolve points requirement by requirement as you refine your procurement
Benefit: Better collaboration in the procurement team, with a clear overview of what's still open before the procurement is published.

Activity log in KAV
Keep track of what happens in contract management. Key events are now logged in KAV.
- Events such as sending, signing invitations, and framework agreement events are logged
- The log is available to the buyer's team and is not shown to suppliers
Benefit: Better traceability and a clear overview of what has happened in the contract, and when.
Other improvements
We've made a number of smaller improvements to make everyday work in Artifik easier.
- Save filters and views in the templates and planning overview
- The title on a requirement is now optional, along with other UI improvements for requirements
- Select all documents when transferring from KGV to KAV, making it easier to select or deselect procurement and Q&A documents
- Expired contracts are hidden from the contract list unless you filter for them
- The Team tab is now in the tab bar in Procurements instead of the three-dot menu
Benefit: Quicker access to what you need, a tidier overview, and more control over which version of a contract is signed.
๐ฆ For Suppliers
Requirement types shown in the tender
The requirement type is now shown when you respond to a procurement.
- Each requirement shows whether it is of type Must, Must+, Should or Information.
Benefit: It's easier to see how important each requirement is and prioritise your response accordingly.
๐ General Improvements
Messages: clearer statuses for buyer and supplier
The message overview now shows the state of the conversation from both sides.
- Buyer status and supplier status are shown side by side, so it's clear who has read and who has replied
- Simple, consistent statuses: Sent, Unread and Read, replacing the old "New message" status
- Awaiting reply flags conversations where the other party has written, and you haven't replied yet
- Transferred to Q&A is shown as an extra indicator alongside the status
- Read status per user and read receipts show who has seen a message
- The buyer and supplier dashboards are adapted to the new statuses, with improved search and filters in the message lists and a corrected new-message counter on the supplier dashboard
Benefit: A clearer overview of all communication, so no message is left unanswered.
