This release makes it easier to carry procurement attachments straight into contracts, gives system admins a clearer view of member access and activity, and includes a range of improvements to deviation handling, contract signing, PDF generation, and DPS compliance.

🏢 For Contracting Authorities
Importing Procurement Documents and Q&A into the Contract
When a contract is created from a procurement, buyers can now bring procurement documents and Q&A attachments along with it into the contract.
- The "Transfer to contract" action, available once awarding is complete, opens a picker showing the documents already uploaded to the procurement, as well as the Q&A attachments, so the buyer can choose which ones to carry over
- Imported files land directly among the contract's documents, ready to use immediately
Benefit: Buyers no longer have to re-upload procurement documents and Q&A when a contract is created — the information already gathered during the competition comes with it.
📌Transfer a procurement to KAV after contract award
User Access and Activity Reporting for Organisation Members
System admins in the organisation get a much clearer view of who has access to what, and what they've been doing with it.
- A new tab, "View Member Access", has been added in org settings
- The Access tab shows everything the member has access to across planning, procurements, and contracts
- The Activity tab shows a log of the member's actions, with date, time, which procurement or contract it relates to, the action taken, and which organisation it happened in.
- An Export is available to give a high-level overview of access rights and organisational affiliation for every individual user.
Benefit: Admins can see exactly what each member has access to and what they've done, without having to piece it together across several tabs.
Deviation Handling Improvements
Several rough edges in reporting and resolving deviations have been smoothed out.
- Rejecting a deviation now requires a reason, which is shown to the person who reported the deviation on the published contract page
- The internal notes section has better contrast and is easier to read
Benefit: Rejecting a deviation is more transparent for the person who reported it, and internal notes are easier to read.
📌Manage and process contract deviations
Contract Signing Reliability Improvements
Two adjustments make the signing process clearer for everyone involved.
- The text and layout on the signing screen during the grace period have been improved
- Signing confirmation is now available and works the same way for contracts, call-offs, and contract amendments — including agreements signed outside Artifik.
Benefit: Signing during the grace period is clearer to navigate, and everyone involved in signing — including those who signed outside Artifik — gets the same signing confirmation.
DPS (Dynamic Purchasing System) Corrections
A few fixes bring DPS procurements in line with how they're regulated.
- The Dynamic Purchasing System and the competitions under it now show clearly labelled procedures ("Qualification system" and "DPS Competition")
- The "Start competition" action on a DPS is now part of the main layout, matching how the equivalent action works on standard competitions
Benefit: DPS procurements now give buyers accurate, legally correct guidance, along with a more consistent experience.
📋 General Improvements
Continued Move to the Improved PDF Version
More of Artifik's generated PDFs have moved to the new, cleaner PDF version. We've also fixed up the following:
- The contract strategy document and internal report.
- The call-off form PDF
- Supplier bid documents (procurement information, requirements, and award criteria responses), downloadable by both buyers and suppliers
Benefit: PDFs across the platform look consistent, and documents that previously weren't part of the archive — like the internal report — are now captured alongside the rest.
